Using Search In Notion Effectively

Hi There!

Its very easy for a Notion workspace to be come a large tangled web of content.

Especially if you…

  • are sharing the space with other

  • don’t start out with a system for how you’re going to store things

  • don’t have a plan for how to name things

You could spend time navigating your team’s workspace to find what you’re looking for. But this is inefficient and you could spend hours a week looking for content instead of getting real work done.

But thats where Notion’s search capabilities shine.

By using the search bar in Notion you can find things across your entire workspace. Using the “command + K” or “windows + P” shortcuts you bring up the quick find bar in Notion. Conveniently it will automatically show you pages you’ve accessed recently so if there is something you were working on and want to dive back into its right there at the ready.

Just start typing and Notion will search for content that matches your search conditions. It will even show you a preview of the page content so you can know what to expect to find on the page before even going.

When you find what you’re looking for all you have to do is hit enter and it will take you to the content. All without leaving your keyboard.

But, what if you can’t quite find what you’re looking for? Or your workspace is huge and has tons of people creating tons of potentially duplicate content?

That’s where you can become a Notion ninja.

Did you know that the search bar in Notion has extra features to help you narrow down your search results to EXACTLY what you’re looking for?

If you know some details about the page but maybe not its exact name you could narrow your results by:

  • Who created it

  • When it was created

  • Which database or table its in

  • Or use Q&A to ask the AI for what you’re looking for 🤯
